The Hidden Cost of an Inaccurate Medical Equipment Inventory

Here’s a fun exercise. Ask five people how many infusion pumps your hospital owns.

You’ll probably get six different answers.

Medical equipment inventories have an amazing ability to become fiction. Equipment moves. Departments borrow things. Old devices disappear. New equipment arrives. Someone promises they’ll update the CMMS later.

Spoiler alert… Later never comes.

Before long you’re looking for equipment that’s been gone for three years while somehow missing equipment sitting two hallways away. An inaccurate inventory doesn’t just make surveyors grumpy. It wastes everyone’s time. Technicians hunt for equipment that doesn’t exist. Finance budgets for assets already retired. Managers make staffing decisions based on bad information. Capital planning becomes educated guesswork. The inventory becomes less of a management tool – and more of a historical novel.

So where do you start?

For many hospitals, the answer is…you don’t. Not because you don’t want an accurate inventory – because who has the time?

Walking thousands, or even tens of thousands, of assets across an entire hospital while still responding to service calls, completing PMs, supporting the OR, and putting out daily fires isn’t exactly realistic. So the inventory keeps getting pushed to “next quarter.”  Then next year.

Meanwhile, equipment continues to move, new devices arrive, old ones disappear or departments trade equipment without telling anyone. Before long, the CMMS tells one story, and the hospital tells another.

Sometimes the smartest approach isn’t trying to squeeze a massive inventory project into an already overwhelmed department. It’s treating it like the one-time capital project it really is. Bring in a dedicated team, like Multimedical Systems,  whose only job is to walk every asset, validate every serial number, confirm every location, identify duplicate records, remove retired equipment, and leave you with something every HTM leader dreams about:

A clean, defensible inventory you can actually trust.

Because here’s the thing… An inventory isn’t valuable because it checks a compliance box. It’s valuable because every decision you make afterward is based on it.

Capital planning.
PM schedules.
Replacement strategies.
Cybersecurity.
Recalls.
Staffing.
Survey readiness.

Every one of those decisions gets better when the data underneath it is right. And once the inventory is clean, your in-house team can do what they do best…keep it that way.

Take Five

Ask yourself:

✔ When was the last time every asset in your facility was physically verified?

✔ How confident are you that your CMMS reflects what is actually on the floor?

✔ How many technician hours are spent searching for equipment that may no longer exist?

✔ Are you making capital, staffing and replacement decisions based on data you actually trust?

✔ And the big one: if your team hasn’t had time to fix the inventory yet, when exactly are they going to find it?

Sometimes the smartest solution isn’t finding time to do it. It’s bringing in a team whose only job is to get it done.
